Privacy policy

This privacy policy explains what data may be processed through the Knowation website and Knowbot, for what purposes, and according to which principles.

1. Data controller

Knowation is the data controller for personal data collected through the website and through Knowbot.

Knowation’s identification details are set out in the website’s legal notice.

2. Data that may be processed

Depending on how you use the website, Knowation may process the following categories of data:

  • information you voluntarily enter in the contact form;
  • information you voluntarily enter in Knowbot;
  • your name and email address if you request to be contacted again;
  • technical information strictly necessary for the operation and security of the website.

3. Purposes of processing

Data processed through the website and through Knowbot may be used to:

  • respond to your messages and contact requests;
  • provide an initial assessment of your needs through Knowbot;
  • contact you again when you request it;
  • ensure the security, maintenance and proper technical operation of the website.

4. Legal bases

Depending on the case, processing may be based on:

  • your consent, particularly when you agree to the use of Knowbot involving a third-party AI service;
  • steps taken at your request prior to a potential contractual relationship, when you ask for an exchange or a response;
  • Knowation’s legitimate interest in ensuring the security and proper functioning of the website.

5. How Knowbot works

Knowbot is a chatbot developed by Knowation to provide an initial analysis of a need or request.

Information entered into Knowbot is processed in order to generate a response helping the user gain an initial understanding of their needs.

Knowation recommends that you do not enter sensitive or confidential information into Knowbot unless it is strictly necessary.

6. Use of a third-party AI service

The operation of Knowbot may involve sending the content of your message to a third-party AI provider, including Mistral, in order to help understand and structure your request.

This transfer is limited to what is necessary for the service to operate.

The terms and policies specific to that provider are published separately by the provider itself.

7. Contact data

When you ask to be contacted again via Knowbot or through the contact page, Knowation may process your name and email address in order to respond to you.

This data is only requested where it is useful for handling your request.

8. Data recipients

Data is intended for authorised persons within Knowation, only to the extent necessary to process your request.

It may also be shared with technical service providers involved in operating the website or Knowbot, strictly to the extent necessary for their tasks.

9. Retention period

Data is kept for no longer than is necessary for the purposes for which it is processed.

Messages and contact details submitted for a contact request or an initial needs assessment may be kept for the time needed to process the request, and then deleted or archived depending on their administrative, commercial or pre-contractual relevance.

10. Your rights

In accordance with applicable regulations, you may in particular request access to, rectification or erasure of your data, as well as restriction of certain processing operations, under the conditions provided by law.

You may also withdraw your consent where processing is based on it.

To exercise your rights, you may contact Knowation at the address indicated on the contact page or in the legal notice.

11. Cookies and trackers

At the time this policy was drafted, the Knowation website does not use cookies or trackers requiring consent for its ordinary operation.

If this changes, this policy will be updated accordingly. The French Data Protection Authority (CNIL) reminds users that information and, where applicable, prior consent apply to cookies and other trackers falling within that legal framework.

12. Security

Knowation implements reasonable measures to protect processed data against unauthorised access, disclosure, alteration or destruction.

However, no online service can guarantee absolute security. You are therefore advised not to send sensitive or confidential information unless it is strictly necessary.

13. Updates

This privacy policy may be amended at any time. The applicable version is the one published on the website on the date it is consulted.
